What a Monitoring Visit Requires

Funder monitoring visits vary in scope and depth. A foundation program officer checking in between formal reporting cycles may want to see current fund balances and a few supporting documents. A government agency reviewer conducting a formal compliance monitoring may request documentation across every compliance area for the full grant period.

Both require you to produce evidence in organized form, scoped to the specific grant under review. The template below structures that evidence so you know what you have before anyone asks for it.

Use this template before the monitoring visit, not during it. The goal is to find gaps while there is still time to close them.


Section 1: Award Documentation

These documents establish the terms of the grant: what was approved, what was later modified, and what the funder expects in return.

Checklist:

  • Original signed grant award letter or contract (all pages including exhibits) Reviewer purpose: Confirms the original scope, approved budget, and grant period.

  • All executed amendments or modifications, in date order Reviewer purpose: Verifies that spending and reporting reflects the current approved terms, not the original ones.

  • Approved budget as of the most recent amendment Reviewer purpose: The comparison baseline for budget-to-actual review.

  • Any prior approval correspondence (budget modifications, no-cost extensions, key personnel changes, scope changes) Reviewer purpose: Confirms that changes requiring prior approval were approved before they occurred.

  • Current grant period start and end dates (confirmed from the most recent amendment if modified) Reviewer purpose: Verifies that expenditures fall within the period of performance.
