Spreadsheets can manage grant compliance for a small, simple portfolio — one or two foundation grants with predictable reporting schedules. They stop working reliably when the portfolio grows in grants, when federal awards with complex compliance requirements enter the mix, when staff transitions happen, or when an audit reveals that the spreadsheet did not contain what everyone thought it did. Migration to purpose-built software is not primarily a technology project — it is a data quality project.
Most nonprofits that eventually migrate from spreadsheets to grant management software do so because something went wrong — a missed deadline, an audit finding, a closeout scramble that took weeks instead of days. The organizations that migrate before something goes wrong are in the minority, but they are the ones who get to choose the timing and do it on their terms. This guide covers both scenarios.
Signs That Spreadsheets Have Stopped Working
Spreadsheets are not inherently inadequate for grant tracking. For organizations managing one or two foundation grants with predictable reporting schedules, a well-maintained spreadsheet is sufficient. The point of failure is different for different organizations, but these are the most common signals:
Missed or near-missed deadlines. If you have had a late submission, or if you regularly discover upcoming deadlines less than a week before they are due, the calendar system is not working. Spreadsheet calendars require manual maintenance that is easy to neglect.
Audit findings or disallowed costs. If a single audit or funder review has flagged inadequate documentation, incorrect cost allocation, or missing time records — and the root cause traces to manual spreadsheet processes — the tool has failed you.
Staff transition knowledge loss. Spreadsheet-based grant tracking is frequently dependent on one person who knows how the spreadsheet is structured, what the column headers mean, and where to find supporting documentation. When that person leaves, the system becomes unreliable until someone re-learns it.
Federal award addition. Adding a federal grant with Single Audit requirements to a portfolio that was previously all foundation grants is a typical trigger. The compliance requirements for federal awards — time and effort documentation, allowable cost testing, subrecipient monitoring, SF-425 reporting — are more rigorous than what most spreadsheet systems were designed to manage.
Portfolio growth beyond ~5 active grants. The manual overhead of maintaining an accurate spreadsheet for multiple simultaneous grants grows approximately linearly with the number of grants. At five or more active grants, the manual reconciliation and update burden becomes a significant staff time cost.
Version control failures. Multiple staff members editing different versions of the grant tracking spreadsheet without a defined master copy, or a spreadsheet that cannot reliably be recovered to a prior state, is a system that is producing unreliable outputs.
What to Inventory Before You Start
A migration is only as good as the data you bring into the new system. Before configuring anything, take stock of what you have:
Active grant list. For each grant currently active: funder name, award number (for federal grants), total award amount, period of performance start and end dates, current unspent balance, next reporting deadline, and current status of any open compliance items (budget modifications, monitoring findings, subrecipient open items).
Approved budgets. The approved budget for each active grant, by line item, at the level of specificity your funder requires. If amendments have been made, use the most current approved budget.
Expenditure history. Transaction-level expenditure records for each active grant from the beginning of the current fiscal year forward. You do not need to migrate five years of history — focus on what is still within the audit retention window and particularly on the current grant period.
Reporting schedule. Pull the actual grant agreement for each active grant and confirm the reporting due dates. Do not migrate assumed dates that were entered from memory — verify against source documents.
Contact and portal information. Funder name, program officer name and email, submission portal URL and login credentials. These are frequently scattered across email inboxes and browser bookmarks; consolidate them during the inventory phase.
Open items. Any pending budget modification requests, subrecipient issues, unanswered funder questions, or compliance items that need resolution. These need to be documented in the new system, not left in email.
Data Cleaning Before Migration
Clean data before you migrate it. Migrating dirty data produces a dirty system that requires ongoing manual correction — often indefinitely.
Reconcile grant balances. For each active grant, confirm that the unspent balance in your spreadsheet matches the balance in your accounting system. If there is a variance, trace it before migrating. A data discrepancy that exists at migration is a data discrepancy that will exist in the new system.
Verify reporting dates against source documents. Open the grant agreement for each active grant and confirm the next reporting deadline and the submission method. Assumed dates that have never been verified are the most common source of missed deadline events.
Deactivate closed grants. Any grant that has been closed out — final reports accepted, closeout letter received — should be archived, not migrated as an active grant. Migrating closed grants as active creates confusion and inflates your apparent portfolio.
Standardize naming. Decide on a naming convention for grants, funders, and budget categories before you start data entry in the new system. Inconsistent naming in a spreadsheet is annoying; inconsistent naming in a relational database is worse because it prevents accurate roll-up reporting.
Collect missing documentation. If there are known gaps in expenditure documentation — invoices that were never collected, time records that were not maintained — address them before migration if possible, or flag them explicitly as known gaps so they are not lost in the transition.

The most common timeline extension is the data cleaning phase. Organizations that have been running spreadsheets for years accumulate data quality issues that take time to resolve. Allocate realistic time for this phase — rushing through it produces a migration that is technically complete but practically unreliable.
Running Parallel Systems During Transition
The parallel running period — when both the spreadsheet and the new system are being updated — is necessary but should be time-limited. The purpose of parallel running is to verify that the new system is producing correct outputs before the old system is retired, not to indefinitely maintain two sources of truth.
Set a specific cutover date (typically 4–6 weeks after go-live) and communicate it before the parallel period begins. After the cutover date, the spreadsheet is archived — not deleted, but no longer updated. Staff should know that the spreadsheet will not be kept current after that date, which eliminates the option of drifting back to it.
During the parallel period, run the same monthly reports from both systems and reconcile them. Any variance requires investigation. Variances that are not investigated during the parallel period become mysteries after the spreadsheet is archived.
